Who we are
KADIMHU LIMITED operates AetherServants at aetherservants.com and is responsible for the personal information described in this policy. Contact us at kadimhu@gmail.com. Business address: 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom.
We provide spiritual sessions remotely and offer monthly community membership. This policy explains how we use information supplied through our store, session forms and support channels.
Information we collect
- Contact and order details: your name, email address, purchases, order references, payment status, subscription information and correspondence. Checkout may also collect billing details and a telephone number.
- Session details: our individual-session and one-time membership forms ask for your full name, email address and a clear photograph for session identification. Monthly subscribers are asked to send a clear photograph after subscribing, using the same email address used for the subscription.
- Messages: information you choose to send by email, website chat or another contact channel you use to reach us.
- Website information: device and browser information, IP address, pages visited, cookies and similar information used to operate, secure and understand use of the store.
Your email address is needed for order and session communications. The requested session details are needed for that service workflow; without them, we may need to contact you before carrying out the session. They are not a legal requirement to browse the website. Please supply only information relevant to your request. Do not send identity documents, payment-card images, medical records or other unnecessary sensitive information.
Why we use your information
- To provide the service you request: process your order, use the selected session details, communicate about your session, administer membership and handle cancellation requests. The basis is taking steps at your request and performing our contract with you.
- To meet legal obligations: keep necessary transaction and accounting records and respond to lawful requests.
- To protect and manage the business: secure the store, investigate suspected fraud, resolve complaints and establish or defend legal claims. These are our legitimate interests, balanced against your rights.
- For optional marketing and non-essential technologies: where consent is required, we rely on your consent. You can withdraw it without affecting the lawfulness of earlier processing. Buying a session does not by itself subscribe you to marketing.
A session photograph is used for your requested session, not as permission to publish it or use it in advertising. We do not require you to state your religion or provide health information. Where a request would involve processing special-category information, we must establish a separate lawful condition, such as your explicit consent where appropriate; ordinary acceptance of this policy is not that consent.
Shopify, payments and communication services
Shopify hosts our store and processes store, checkout, order and chat information. Stripe processes community membership payments and associated subscription information. Payment providers process payment credentials through their checkout systems. We receive transaction information needed to manage your purchase.
If you choose to contact us through a third-party service such as Instagram or Telegram, that service also processes the messages and files you send under its own privacy terms. Email and other service providers process information necessary to deliver those communications. We may also disclose necessary information to professional advisers, payment-dispute providers or authorities when required to meet legal obligations or protect legal rights.
For information about the platforms' handling of data, see Shopify's Privacy Policy and Stripe's Privacy Policy.
Photographs and retention
We delete the photographs used for your session from our own working files after the session is completed and do not keep a separate photo archive.
When you upload a photograph to Shopify or send it through a messaging or email service, a copy may remain in the order record, message history or the provider's systems. Deleting our working copy does not automatically delete every platform copy or backup. Contact us if you want a stored attachment or message reviewed for deletion; requests are handled subject to the platform's deletion facilities and any applicable legal obligations.
We retain other session details and correspondence only for as long as needed to deliver the service, provide related support, address a complaint or dispute and meet applicable legal requirements. The retention period depends on the information involved, whether a request or dispute is still open and any record-keeping obligation. Necessary payment, order and accounting records may need to be retained after session materials are deleted.
Cookies and international processing
Cookies and similar technologies support functions such as the shopping cart, checkout, security and remembering preferences. Analytics or marketing technologies may also be used where enabled and permitted by your applicable consent choices. You can manage cookies through the privacy controls offered on the store and your browser. Disabling essential cookies can affect store functionality.
Shopify, Stripe and communication providers operate internationally, so information may be processed outside your country. Shopify's processing locations include Canada and Singapore. Its Data Processing Addendum explains applicable safeguards, including standard contractual clauses and the UK International Data Transfer Addendum, adequacy arrangements where applicable, and binding corporate rules for certain EEA and Swiss transfers.
Stripe's international processing includes the United States and India. Its Privacy Policy describes the applicable transfer mechanisms, including adequacy decisions, standard contractual clauses and the UK addendum, and Data Privacy Framework protection for eligible transfers to its participating US entity. The mechanism depends on the countries and entities involved. You can read the linked documents or contact us for information about safeguards relevant to your data.
Your rights and privacy complaints
Depending on the law that applies to you, you may request access to your information, correction, deletion, restriction of processing or a portable copy. You may also withdraw consent where processing relies on it. Some information must be kept to satisfy legal obligations or handle legal claims.
You may object to processing based on legitimate interests and to direct marketing. Use the unsubscribe option in marketing emails, where available, or contact us. Withdrawing optional marketing consent does not prevent necessary order or service communications.
Send a privacy request or complaint to kadimhu@gmail.com. We may ask for information reasonably necessary to verify your identity. We will acknowledge a data-protection complaint within 30 days, investigate it and communicate the outcome without undue delay.
You may also complain to your local data-protection authority. In the UK, this is the Information Commissioner's Office (ICO). Contacting us first does not remove that right.
Updates
We may update this policy when our services or data-handling practices change. The date above identifies the current version. We will provide additional notice where required.
